Zimmerman Associates, Inc. (ZAI) is seeking a seasoned Senior Human Resources Generalist to support our dynamic human resources team. This is a hybrid role (typically requiring 2-4 days on site per month at our Fairfax, VA corporate office).
Pay Range: $80,000 to $90,000
I. Position Summary
As a Sr. Human Resources Generalist, you will use your broad knowledge of human resources to serve as an administrator for several critical human resources functions, including but not limited to compensation, employee relations, benefits, performance management, employee records, onboarding, training, leave and attendance tracking, and HR policies and procedures. You will provide internal support and partnership with the Vice President of HR, senior HR team and third-party vendors to deliver required human resources to our 450+ company-wide employees, ensuring compliance with local, state, and federal regulations for HR policies and processes. Coordinates with HR support staff to process and maintain employment, attendance and other records.
II. Essential Functions
In this role, you will be responsible for the following duties and/or functions:
Administering leave programs, i.e., FMLA, STD, Bereavement, Jury Duty, Leave of Absence, Vacation, and Sick, ensuring successful integration with other HR functions such as payroll and benefits, ensuring compliance with legal requirements, addressing eligibility criteria, accrual rates, request procedures, employee communications, documentation requirements and any issues related to the employee leaves of absence to correctly implement the rules of the programs.
Compiling data from personnel records and preparing appropriate communications including:
Responding to unemployment claims promptly, providing accurate and detailed information regarding the employee’s termination reason to the state unemployment office with the designated time limit. Supporting disputes or appeals.
Preparing Offers, Transfers, Promotions and Termination Letters
Downloading monthly employee rosters from Cognos database and uploading them to SharePoint, ensuring managers and supervisors have timely access to accurate workforce data.
Fidelity 401(k) Plan Administration – Participant Data Management
Submitting contribution files to fund payrolls including employee deferrals, loan repayments, employer match, and Service Contract Act
Regularly reviewing and fixing data errors associated with contribution file entries.
Ensuring Fidelity Feedback File Actions to include updating 401(k) salary deferral contribution elections and loan payment deductions in Costpoint are timely undertaken.
Ensuring Fidelity records are appropriately documented upon hire, separation and when employees experience salary adjustments.
Ensuring all corrective actions are taken in connection with any missed contributions.
Ensuring 401(k) Catch Up Contributions are completed in Costpoint.
Encouraging employees to review beneficiary designations
Collaborating closely with Vice President of HR and other HR team members to assist with department projects and initiatives as needed.
Assisting Vice President of HR and HR team with continuous improvement initiatives.
Assisting in talent acquisition and recruitment processes by supporting candidate screening processes, sourcing, background checks, interviews, and employee onboarding as appropriate.
Performing QA reviews across the HR team and regularly monitoring HR Generalist II work-related tasks.
Coordinating with payroll all applicable payroll changes associated with hires, terminations, benefits premiums adjustments, et al.
Monitoring new employees benefit enrollments and forwarding enrollment data to appropriate HR Representative. Processing mid-year benefit elections.
Administering the company compliance trainings, including monitoring and tracking employee training programs to ensure company adheres to all relevant legal and regulatory requirements, maintaining training and generating reports on compliance status to management as requested.
Administering SmartBenefits Commuter Benefit Program
Reviewing and providing supportive and constructive feedback to managers’ feedback on employee annual performance reviews and any Personnel Feedback Forms (PFFs) to ensure manager’s feedback is specific, fair, actionable, balanced (with both positive and constructive criticism) and clearly aligned with the employee’s role and responsibility.
Investigating and resolving informal employee complaints through mediation.
Serves as Administrator for ZAI’s help desk (Fresh Works) to ensure employee interactions within Fresh Works regarding onboarding, benefits, PTO, company holidays, leave, etc. are timely serviced and efficiently resolved and timely serviced.
Inputting and verifying information entered in Costpoint upon request.
Performing other related duties and responsibilities as assigned, consistent with the scope and level of this position.

This position requires a Bachelor's Degree and equivalent experience, plus a minimum of 4 years of progressive human resources experience. SHRM certification accepted as an equivalency marker for maximum of 2 years of direct experience and knowledge of foundational HR practices. The successful incumbent will rely on his/her demonstrated HR experience and judgment to plan and deliver maximum value to the company. Additionally, the successful incumbent will possess:
Knowledge of general human resources policies and procedures. Knowledge and understanding of the Service Contract Act (SCA) is preferred. Experience with HRIS Deltek Costpoint preferred. Ability to work independently on a broad range of HR-related projects and to make decisions while following company procedures. Conflict resolution and cooperation skills. Ability to define HR guidelines and policies to represent both the employee and the company. Ability to maintain confidentiality, display discretion and protect privacy of information. Effective communication skills with an ability to facilitate discussions with managers and employees to address sensitive topics, concerns, conflicts, benefits, performance feedback sessions, company policies and answer questions. Knowledge of employment laws and regulations and the ability to ensure compliance with these laws and regulations. Outstanding knowledge of MS Office, Microsoft Excel, Word, Outlook, and Internet Explorer are necessary. Experience with recruitment and staffing logistics, including sourcing candidates, screening resumes, and conducting interviews. Experience with Taleo Applicant Tracking System is a plus. Ability to conduct market surveys (Comp Analyst) is preferred to support business development activities. Previous experience in a government contracting environment preferred. Experience and knowledge of employee relations procedures to manage employee related complaints and seek solutions to resolve workplace conflicts; review and provide feedback to managers/supervisors on employee performance evaluations. Highly organized and able to manage multiple tasks simultaneously. Able to prioritize tasks and meet deadlines. Ability to adapt to a rapidly changing environment.
